Audit: Housing Trackers

Audit Frequency: We highly recommend that you review the reports on a monthly basis to help reduce the amount of cleanup that occurs each quarter. Thank you for your help keeping your CoDa records accurate and up-to-date!

What to check for: All exited clients who participated in Compass services (excludes Not Enrolled clients and clients who only participated in groups/classes) MUST have an INTAKE and PROGRAM EXIT housing tracker. Visit your program's report to check if any of your recently exited clients (current and previous fiscal quarters) are missing either or both housing trackers.

How to fix: 

  1. Click on the link to your program's report (see below)
  2. Find your name in the report - you will see a list of your clients who exited this FQ and last FQ.
  3. The "Tracker at Intake" and "Tracker at Exit" columns indicate if the client has an Intake and/or a Program Exit Housing Tracker. 
    • 100% means that the housing tracker is complete and no additional action is required - great job!
    • 0% means that the housing tracker is missing - open the case record and add the housing tracker (Housing Stage = Intake and/or Program Exit). See example in purple below.
    • The "Record Count" lets you know how many trackers you have in each stage. This should always be "1." If the number is greater than "1" it means you have duplicate trackers at intake and/or exit and you will need to fix or delete any duplicates. See example in pink below.
    • Make sure you check both columns. Your client might be missing a housing tracker at one or both stages.
  4. Note that for some programs (e.g. CCH, CFS, CUAV, the Margot, SF Home) you are also required to have an ENROLLED housing tracker and your report will contain a 3rd column.
