What: The "Intervention Tracker" is used by C-Work to track a client's enrollment in the ECE or Workforce Development program.
When: Enter a new intervention tracker as soon as the client enrolls in ECE or Workforce Development. The Program Status on the case record should also be changed to "Enrolled." You will also need to update the intervention tracker when the client exits the program.
Enter a NEW intervention tracker
1. Navigate to the "Intervention Tracker" link under the Related List Quick Links section on the case record and click NEW.
2. Select "C-Work" as the intervention record type and click NEXT.
3. You'll be directed to a new intervention screen. Fill out the relevant fields and click SAVE when done. Here's a quick summary of key fields:
- Type of Intervention: Indicate if the client is participating in the ECE or Workforce Development program.
- Type of Workforce Support: If the client is participating in the Workforce Development program, you will also indicated the type of support - Job Search or Vocational Training. You can select both, if applicable.
- Staff Member: Search for your name to indicate that you are the primary staff person working with the client. This field is used to show how many clients are currently on your caseload.
- Start Date: This is the date that the client officially enrolls in the ECE or Workforce Development program.
Status:
- Enrolled: This is the only option for the Workforce Development Program
- Enrolled in Course: Most clients will start off enrolling in an ECE course and you will typically select this option first.
- Enrolled in Internship: Select this option only when the client enrolls in an ECE internship, if applicable.- Intervention/Service Notes: Enter any relevant notes about the client's enrollment in the program.
- Important! Do not fill out the "End Date," "End Reason," or "End Reason Notes" until the client exits. Leave blank when first entering a new tracker.
Update or Close an Intervention Tracker
When a client has a change in the status of their ECE or Workforce Development enrollment, you will need to update or close the intervention tracker.
1. Click on the link of the intervention tracker you'd like to update.
2. Click on any of the pencil icons to make edits to the tracker. Change the "Status" to EXITED if the client is ending their enrollment, or ENROLLED IN INTERNSHIP if the client is moving from the ECE course to an ECE internship.
3. For exiting clients, enter the End Date, End Reason, and End Reason Notes. End Reasons include:
- Client no longer interested - select if the client opted to discontinue their involvement in the ECE or workforce development program.
- Lack of contact - select if you are exiting the client due to lack of contact after multiple attempts by the staff member.
- Intervention/goals completed - select if the client is exiting the program after successfully completing their individual program goals (e.g. workforce goals, ECE course, secures internship, secures employment, etc.)
- Unable to complete intervention/goals - select if the client is exiting the program because they have successfully completed their individual program goals (e.g. did not pass ECE course, did not complete any job readiness or barrier removal goals, etc.)
Don't forget! For most clients, once the intervention tracker is closed, you will also close the case record which involves the following steps:
- Updating the Program Status, Exit Date, and Exit Reasons
- Entering a Program Exit Housing Tracker
- Entering a Program Exit Employment Tracker
- Closing the ECE Course Tracker (if applicable)
- Closing the Training/Education Tracker (if applicable)
