The “TASK” function allows staff to keep track of “to do” items and other follow up that needs to be completed on a specific case.
SECTION 1: BASIC PROCESS
- You can manually create a task at any time for any case. See Section 2 on Manually Creating a Task.
- The task “lives” on the Case Record and can be accessed/viewed from several places. See Section 3 on Viewing Tasks.
- A task will remain “OPEN” until you have manually closed it. See Section 4 on Editing/Closing Tasks.
SECTION 2: CREATE A TASK (MANUALLY)
To manually create a new task, open the relevant case record and navigate to the task section on the right-hand side of the record. Click ADD to create a new Task. A new window will open up and you will be asked to fill out the relevant details of the task. If your program has enabled automated tasks, you will not have to do this step, Salesforce will create the task for you.
SECTION 3: VIEWING TASKS
Option 1: From the CASE RECORD
Option 2: From the Case Manager/Therapist dashboard
On your Case Manager/Therapist dashboard, you will see a table called MY OPEN TASKS (the location may vary based on your program). This option is great if you want to see your OPEN tasks for ALL clients in one place.
Option 3: From the TASKS Tab
Navigate to your TASKS tab in CoDa. Depending on your specific layout, the Task tab may appear in a different place than what you see in the screenshot below. If you can’t see the TASK tab, let the I+L team know and we can help you add it.
SECTION 4: HOW TO EDIT/CLOSE TASKS
As noted above, click on the task Subject link from the Case Record, Case Manager/Therapist Dashboard, or Tasks tab to view, edit, or close the task. The link will take you to the full task details.
To close the task, change the Status to COMPLETED and add a Task Completion Date. Closing the tasks means that it will no longer show up in your OPEN or OVERDUE task lists. You can also add COMMENTS if you wish.
Quick Tip! From the case record, you can also easily close the task simply by checking the box next to the OPEN task. Note that if you use this method to close the task, the completion date will automatically default to today’s date (the date you closed the task).
Once the task has been completed, it will move from the UPCOMING & OVERDUE section to the completed section. The task will no longer show up on your dashboard or task tab.
