1: Search Property Database Screen
2: Search Results Screen
After you click "Next", the search results will show up in the next screen as shown below.
There are 2 Property records returned based on our search term. Salesforce will return partial matches.
"Add Property to Case Record?"
- Yes, Add Property = choosing this option means you want to add the property record to the case record page you're current at.
- No, Don't add Property = choosing this option will end the screen.
3: Property ID: the ID of the property record you want to add to the Case Record. In the image below, both 1 and 2 are Property IDs. Because we want to add the Property "100 Grove St., San Francisco, CA 94109" to our Case Record, we copy 0013m00002y8I6GAAU and then paste it into the "Property ID" field as shown.
4: Add Property Owner Screen
after you click "Next" from the previous screen, Salesforce will check if your chose Property record already has "Property Owner" in the Property Owner field. If not, it will show the screen and message as shown below.
Add Property Owner or Landlord Info?
- Yes: This will open the "Property Owner search screen" to let search for existing Property Owner record.
- No: This will end the automation.
5: Search Property Owner
If you selected "Yes" in the previous step, the Property Owner search screen will be displayed next.
- Owner/Landlord First Name: just type in the first name of the owner, don't include last name.
- Property Owner Type: Individual or Corporate
- and then click "Next" to see the "Search Results" screen.
6: Property Owner Search Results Screen
If Salesforce was able to find the Property Owner record based on your search terms, it will display the Name, Record ID, and URL in the next screen, just as shown below.
Copy the Property Owner Record ID (boxed in red) and then paste into "Enter Property Owner ID" field.
And then click "Next". This will end the entire workflow successfully.
7 Create a New Property Owner Screen
If in the previous step Salesforce didn't find any matching Property Owner record, the next screen shown will be the "Create New Property Owner Screen", which allows you to enter necessary Property Owner information.
Enter the data in the screen and then click "Next" will end the automation successfully. Salesforce will then create a new Property Owner record based on the information you entered and then add the Property Owner to the Property from the Step 3.
