Audit Frequency: We highly recommend that you review the reports on a monthly basis to help reduce the amount of cleanup that occurs each quarter. Thank you for your help keeping your CoDa records accurate and up-to-date!
APPLICATIONS: Updated Application Status
Report: Audit: HoLo Housing App Status
- What to check for: All housing applications must have an updated housing status. This report shows applications that are missing an Application Status OR do not have an updated housing status when the client becomes housed (application status still shows SUBMITTED and Program Status = ENROLLED or EXITED).
- How to fix: Find your name on the left side of the report. You'll see a list of clients and individual applications that are missing the status or need to update the status. Click on the link (Housing Tracker #) for each application that needs to be updated. Add or update the status as appropriate. If you don't see your name in the report, it means there is no action required.
HOUSING SEARCH TRACKER: Ensuring all clients in housing search have a tracker
Report: Audit: HoLo Housing Search Plan
- What to check for: The report shows all SF Home/CHLS clients who are currently in housing search and whether or not they have a "Housing Search Tracker" created.
- How to fix: The left column shows clients in housing search and the right column shows clients with a housing search tracker (aka housing search plan). If the right column shows 0%, click on the corresponding client and add a new housing search tracker. If you see 100%, no action required for that client.
HOUSING SEARCH STATUS: Updated Housing Search Status
Report: Audit: HoLo Housing Search Status
- What to check for: The "Housing Search Status" should be updated when the client completes housing search (Program Status = Enrolled for SF Home or EXITED for CHLS). This report shows any exited clients who still have their status listed as IN PROGRESS.
- How to fix: Find your name on the left side of the report. You'll see a list of clients and individual housing search trackers that need an updated status. Click on the link (Housing Search #) and change the status as appropriate. If you don't see your name in the report, it means there is no action required.
HOUSING TRACKER: Missing Intake or Exit Housing Tracker
Report: Housing Locator Intake Housing Trackers (for active SF Home and CHLS clients)
Report: CHLS Housing Tracker Audit (for CHLS exited clients)
- What to check for: Missing INTAKE or PROGRAM EXIT (CHLS only) housing trackers.
